If someone is a club member, general customer, ex-club member, or just signed up for your newsletter, they can be found in this list. You can also add a new person to this list.
New person
- Log in to your CompleteDTC account.
- Go to "People".
- Click the "+" next to the "People" heading.
- Fill in all the necessary member information.
- You must enter an email address to save the new person.
- Ensure "Active?" is checked.
- Check the necessary boxes next to "permissions" so you know what emails and or texts you can send to the customer.
- Once the person has been saved, you will notice more tabs open at the top. Added to the original "General", "Addresses", and "Credits", are "CRM", "Clubs", "Orders", "Cellar", and "Changes."
- For more details on each tab of the customer details, click here.
List of people
Click on any record for details on that specific customer.
The overview table includes the following information:
- Name (Last, First)
- Icons
- White rectangle with blue check: there are CRM notes in their account
- Blue square with person and red line: no image
- Email: This email is what makes a customer unique so you cannot have two people with the same email. You will receive a warning if the email is already in your customer list. Emails are also used to identify club members for club discounts.
- Owner: Team member name if one has been assigned as the owner of this contact
- Latest: The date of their last order
- $$: The total dollar amount this customer has spent
- ##: Total number of orders
- Club: which club they are a part of, if any
- Active: Yes or no
- Uncheck "Active?" within their account if you want to "archive" the customer. We don't want you lose any customer data so you are not able to delete a customer. Instead, make them inactive.
NOTE: You are able to sort by name, $$, ##, or club. Click on the header the header to sort by ascending or descending order.
Filters
- Show: The people list is automatically filtered to "All Actives". To include inactive accounts, change "show..." to "Everyone".
- Other filter options include: Club members, All customers (have purchased), Ex-club members, and My to-dos (people who have a task assigned to you)
- Search for: enter a customers name, email, phone number, or club membership name.
- To-do type: if there are any to-dos assigned to anyone or you, or if there are any club notes
- Issues: select expired card, unverified dob (date of birth), bounced (email bounced), or spammed (they have marked an email sent from your account as spam)
CRM
Use this section to filter the People list by notes that have been added to their account. For example, if you have a note saying someone (or multiple people) loved a specific varietal they tasted, you could enter that and the list would return anyone who had a note about that varietal in their CRM notes.
- CRM contents: the word or phrase you are searching by
- Match
- Exact string: searches for notes that say exactly what was entered in "note contents"
- All words: searches for notes that include all words entered in note contents but they don't have to be in the correct order and other words can be included
- Any words: searches for notes that include any word entered in the note contents but if, for example, only two of seven words are included in a CRM note, that person will show up in the table
- Dates: the date range that the note was entered
